The Flows list

How to create, open, export, import and delete flows, what the columns of the list show and how the lock works while a flow is being edited.

You find the list under Flows in the navigation pane of the Administration; the header counts the flows, for example Flows: 5.

Column Contents
Icon the type of the flow — phone, envelope, fax or speech bubble. The color shows the result of the check: green without findings, orange with warnings, red with errors.
Name the name of the flow
Description free text
Mapping the phone numbers, mailbox addresses or pairs of skill and language, see Mapping
Status OK, Warnings or Errors — see Checking, saving, versions
Editing locked by user who is currently editing the flow

Commands

Properties or double-click opens the flow in the flow designer
Add › Inbound call, Email, Fax or Chat opens an empty flow of this type
Import opens a flow from a file, see below
Export writes the flow to a file, see below
Delete or Delete deletes the flow after confirmation

With the Routing configuration: See permission, the context menu only offers Show; the flow then opens without Save.

Creating a flow

  1. Right-click in the list and choose Add and the type.
  2. The flow designer opens with an empty flow. In the flow properties, enter the Name.
  3. Place the nodes, enter the mapping and click Save.

The flow is only created on the server when you save it for the first time.

Exporting and importing

  • Export writes the flow logic — nodes, connections, variables, functions and settings — to a file with the extension .flow, in the Save to file window. Name, description, mappings and earlier versions are not included.
  • Import opens such a file in the Open from file window as a new flow in the designer, without name and mapping. It is only saved when you click Save.

This is how you transfer a flow to another installation or create a variant. To replace the logic of an existing flow instead, use Import in the designer’s ribbon; name, description and mappings are then kept. You can also attach flows to feedback for support.

Deleting a flow

Delete asks for confirmation with Delete flow and lists the selected flows; OK deletes them. The server removes the flow with all its mappings and all earlier versions. The Routing Service completes running conversations with their version; new conversations on the previous numbers and mailboxes no longer find a flow.

Lock and view mode

  • If you open a flow with the Change permission, the Administration locks it under your name; the lists of all administrators show this in Editing locked by user.
  • Everyone else opens it in View mode: the window title shows [View mode], and Import, New and Save are disabled. They can view the flow and try things out, but cannot save anything.
  • The lock ends when the designer is closed, the connection is lost or the person editing the flow logs off. It cannot be released manually.
  • The context menu does not offer a locked flow for deletion.
