A report is a report design with saved parameters and a calendar for automatic execution. You create a new report in the Report design list with Create report from design.
The Reports list
Under Reporting module › Reports; the header counts the reports, for example Reports: 8. All administrators see all reports.
| Column | Content |
|---|---|
| Name, Description | name and description of the report |
| Design template | the design it is based on |
| Account name | the administrator who last saved it |
| Run state | Enabled: it runs according to its calendar. Disabled: its calendar is empty. No License: it has appointments but no free license Server: Scheduled reports, per report. |
| Command | Effect |
|---|---|
| Properties or double-click | opens the report window |
| Add copy | creates “(Copy) …” with the same design, the same parameters and the same calendar |
| Run again | catches up on automatic runs, see below; only for reports with Enabled |
| Delete or Delete | deletes after the prompt Delete report and releases the license |
| Show | only with the permission Report: See: opens the report window without the calendar and without saving |
The report window
The window bears the name of the report; a new one is called New report. It shows the report in the DevExpress print preview, where you can print, set up the page, page through, zoom, export to PDF, Excel and other formats or send the report by email from your email program. In addition, there are Rename and Calendar.
- When the window opens, the parameters appear, with the period set to yesterday. Choose the values and confirm.
- The report runs. Only then can you use Save, Rename and Calendar.
- Save takes over the current parameters and the calendar, enters you under Account name, saves and closes the window.
- Rename asks for New name and Description in the Rename Report window; Save saves immediately and closes the window.
- Calendar switches between the report and the calendar for automatic execution.
A report runs on your computer: the Administration reads the data directly from the database. Long periods with detail tables need correspondingly more time and memory.
Catching up on missed reports
If an automatic report did not run — for example during maintenance — you can catch up on it:
- In the Reports list, select one or more reports with Enabled and choose Run again.
- In the Select Time Range window, enter Start and End in the local time of your computer. The default is 0:00 today until now.
- Click OK.
- The Administration counts the appointments in the range and asks for confirmation, for example 3 report run(s) will be executed again, 2 of them will be sent by email to the configured receivers. Continue? Click OK.
If there is no appointment in the range, you see The selected time range contains no scheduled report run. instead of the question.
The server takes all appointments of the calendar that started within the range, including appointments of a series; appointments that are still to come do not count. For each one, it creates the report as if it ran at the start of that appointment — with the period and settings of that appointment. It stores the files — if a file already exists, it appends “_1”, “_2” … to the name — and sends the emails again. At most 100 appointments per report.
A report can only be caught up on if:
- the server is the active one. A standby server refuses with Reports can only be run again on the active server.
- its design has the parameters for the period, Start time and Completion time. Otherwise the server reports The selected time range cannot be applied because the report has no "Start time" or "Completion time" parameter.
- it can be stored or sent. If neither a Path to store reports is entered nor sending by email is possible, the server reports Report location not configured.
The information area reports the result only to you, under Report Re-Run: Report successfully re-run. or Failed to re-run report. with the reason, for example The selected time range contains too many report runs. The Reports error message to all administrators and supervisors is not sent when catching up, only for the automatic run.
